Why confirm COD orders at all
Cash on delivery is still how many Indian shoppers prefer to pay. The cost of a COD order that is placed casually, or with an incomplete address, lands on you: packing time, forward shipping, return shipping and a parcel stuck in transit for a week. Calling every customer to confirm works for ten orders a day, not a hundred.
An automated WhatsApp confirmation solves most of this. The customer gets a message seconds after ordering, taps Confirm or Cancel, checks their address, and your team only steps in for the orders that need a person.
What you need before you start
- A WhatsApp Business Platform number. Automated messages need the official platform (often called the WhatsApp Business API), not the regular WhatsApp Business app. You access it through an approved provider, which also gives you a shared inbox for your team.
- A verified business profile with a display name that matches your brand, so customers recognise who is messaging them.
- A connection between WooCommerce and your provider. Most providers offer a WooCommerce integration or accept order webhooks. This is what lets an order event send a message.
- Clear order statuses. Decide which WooCommerce status means “awaiting confirmation” and which means “confirmed”, so the messages and your packing list agree.
Step 1: Write the message templates
Business-initiated WhatsApp messages must use templates approved by Meta. For COD confirmation you typically need three, all in the utility category because they relate to an existing order:
- Order confirmation: “Hi {{name}}, thanks for order {{order_id}} ({{amount}}, Cash on Delivery). Please confirm so we can pack it today.” with quick-reply buttons Confirm order and Cancel.
- Address confirmation: “Delivering to: {{address}}. Is this correct?” with Yes, correct and Change address.
- Reminder: a short follow-up for orders that are still unconfirmed after a set time.
Keep templates short, put the order number and amount in the first line, and avoid promotional wording in utility templates; mixing offers into them is a common reason for rejection or re-categorisation.
Step 2: Trigger messages from WooCommerce
Send the confirmation when a COD order is created, not when it is paid, because COD orders are never “paid” online. A typical setup:
- When a new order with payment method COD is placed, set its status to your “awaiting confirmation” status and send the confirmation template.
- Prepaid orders can skip confirmation and receive a simple “order received” message instead.
- Include the order ID in the message variables so every reply can be matched back to the right order.
Step 3: Update the order from the customer’s reply
The automation is only useful if a tap changes something in WooCommerce. Map each button to an action:
- Confirm order moves the order to “Processing” (or your confirmed status) and sends the address confirmation.
- Yes, correct adds an order note such as “Address confirmed on WhatsApp” so your packing team can trust it.
- Change address flags the order and hands the chat to a person, because addresses need a human check.
- Cancel cancels the order (if it has not been packed) and restores stock.
Always write an order note for every automated change. When a customer later disputes an order, the note trail shows exactly what was confirmed and when.
Step 4: Reminders that stop on time
Some customers miss the first message. Send a small number of reminders at fixed intervals, for example after 30 minutes and again a few hours later, and then stop. The important part is the stop conditions. A reminder must not go out if:
- the customer has already replied, even with a question instead of a button tap;
- the order has been confirmed, cancelled or shipped by your team in the meantime;
- a shipment has already been booked for the order.
Reminders that ignore these conditions are the fastest way to annoy customers and get your number reported.
Step 5: Rules that protect your team
- Block cancellation after confirmation. Once an order is confirmed or packed, a late “Cancel” tap should go to a person instead of cancelling automatically.
- Hand over anything unclear. Questions about sizes, delivery dates or refunds should reach your shared inbox, or an AI assistant that answers from your store data and hands over when unsure.
- Baseline old orders. When you switch the automation on, exclude existing orders so customers whose parcels already arrived do not suddenly get confirmation messages.
Common mistakes
- Sending confirmations for prepaid orders, which confuses customers who already paid.
- Using the WhatsApp Business app on a phone for automation; it is not built for this and risks the number.
- Not handling replies that are typed rather than tapped, such as “yes” or “ok”.
- Forgetting message costs. WhatsApp business messages are priced by Meta and billed through your provider; check your provider’s current rates and keep reminders to a sensible number.
Launch checklist
- Templates approved in the utility category, with the order ID in each one.
- Test orders placed with COD and prepaid, and every button tested.
- Order notes written for every automated change.
- Reminder stop conditions tested with a reply, a manual confirmation and a shipped order.
- Existing orders excluded before switching on.
- A person assigned to the shared inbox for handovers.
Set up well, this one flow removes most confirmation calls and catches wrong addresses before the parcel leaves.
